SC3G Christmas Dinner / Meeting Sunday December 5th, 2010 @ 4PM
I had a 2 hour lunch meeting with the event management team at the Buca Di Beppo in Huntington Beach Monday afternoon. We discussed last year’s party in great detail and discussed how they were going to retain SC3G as a customer.
Here are the particulars:
Noise/Privacy
After a substantial amount of research we found that based on transactions the facility is least busy during the weekend on Sunday afternoons between 3-5PM. This in tandem with selecting the most isolated dining room in the facility should significantly reduce the noise level which will allow us to conduct December’s business without having to scream over each other. Given the success we have experienced with having major events on Sundays, this will allow those that work on Saturday to attend.
Parking
Last year there was some confusion regarding the parking situation. The event coordinator at the time mistakenly said that we would be able to park together as a club directly in front of the restaurant and that they would reserve spaces. Well that wasn’t the case and as a result, everyone parked where they could find a spot. Some had to pay for parking where others didn’t. This year we will all park together as a club in the parking structure adjacent to the restaurant. Buca Di Beppo will supply us with a 2 hour parking validation. After 2 hours parking will be $3 per hour.
Contract
Last year I signed the event contract, came out of pocket for the $450 deposit, and had to have no less than 30 people attend to get all of my money back. It was a gamble that paid off however this year we’re going to do it a little different. I was able to broker a deal so whether we have 5 or 50 attendees, the price remains the exact same $20 per person. No contract, no deposit, and my favorite… no stress.
Menu
Last year we had a 4 course meal which consisted of an appetizer, 2 types of salad, 3 types of pasta, dessert, and beverage (unlimited soft drinks, coffee, & tea). As a result, we had 3 massive bags of leftovers (pasta, salad, & cake) which ultimately went to waste. This year in an effort to better control waste we are going to change things a bit. We are going to a 3 course meal instead of 4 eliminating the 1st course (appetizer) and instead of 3 pasta choices, now it’s going to be 2. I was told by several people that they filled up on the garlic mozzarella bread and weren’t able to eat as much as they would have liked to. So this year there will be it will be regular French bread with choice of 2 types of salad, 2 types of pasta, dessert, and beverage (unlimited soft drinks, coffee, & tea). Additionally we were limited to the portions we ordered last year which meant some items went quickly where others were hardly touched. This year it is all you can eat so everyone can fill up on what they like and we won’t have to worry about what doesn’t get eaten.
I am more than satisfied with the outcome of Mondays meeting and left with feeling confident that they were going to do everything they could to take care of us and not have a repeat of last year.
Please RSVP if you will be attending as I need a headcount for the seating configuration no later than November 1st. Please let me know if you are bringing guests and if so how many.

Looks like for salads it’s going to be Caesar & Apple Gorgonzola and pasta is going to be Spaghetti w/Meat Sauce & Fettuccini Alfredo.

The Christmas party is around the corner. I need to have an actual head count no later than this Friday November 26th. We have the choose one of two dining areas for the event. One holds up to 20-30 guests and the other 40-50 guests. We have a tentative hold on the room for 30 however based on feedback I received this weekend, we could easily go over 30 guests. If I switch our reservation to the larger room and have less than 40 people, we will be charged.
