Hello everyone,
Good news. I just got off the phone with the Frederick County Fairgrounds, and they do have an opening for June 21, 2002. I have a meeting setup with the woman on Tues Dec 17th to go and visit the fairgrounds to check things out and see exactly what parts of the place I will need. So, as of now THE DATE FOR NATIONALS WILL BE JUNE 20-22ND. Seems like this is almost a definate finally.
To reserve the place we will need a 25% downpayment on the total bill, and the remainder within 30 days of the event.
Right now, I can get us one enclosed building 199'x60', which will be good if it rains, can have our cookout/dinner there if need be, and that runs about $370 or so. She, couldn't give me an exact total, since it's not known how much space I need right now, till I visit. But, I'm figuring, that the downpayment might only be $5 per person for now, which once I go and visit, I will need to start collecting.
So, expect more from me next Tues, on how much money I need sent to me, via paypal or check, and when. The sooner the money is collected the sooner the date will be set in stone.
Also, I'll have someone contact the race track nearby about rental and pricing. If not, I'll do it.
I will make a post about this on the Nationals regional board, since I don't have everyone on my email update list.
Also, this has just come to my attn, about collecting money. I realize the word will spread and there will be people that want to come after I've collected the downpayment money and such. I'll have to figure out how to work around that, so everyone is sharing the load equally. If anyone has suggestions, I'll make a post about it on the Nat'ls board and reply there.

Just to let everyone know, right now I will only need the downpayment amount.
I'm sure soon, I will need the payment for the track, I'm expecting $40 at most per person for the track maybe about $20.
Also, later on in a month or so, I will need payment for food for the cookout on Sat. I'm estimating $10 per adult/ $5 per kid.

I'm takin that week off and I'm goin over there.. This will be my first time and I think it will be a blast. so what do u do once your there?? Is this held in MD?

hey mark, when you get everything all figured out for the payment plans, could you stickey a locked forum at the top of the thirdgen nats fourms stating where to send the $$ and how much to send and any other info regarding that..

I would be interested in a total amount we would have to pay because I dont want to start out with a little and just keep having to throw more money in. If I make this trip it is already going to be expensive coming from IL so I will need to know what I am going to need to pay you ahead of time so I can budget that also.

i have an idea about the people who decide to come after the downpayment is collected....what u could do is figure out how much is left that is owed and divid it by the final amount of people coming
example:
joe schmoe sends you his $20 for the fairgrounds and the track
now after youve gotten enough for the track and grounds
now abe smith decides him his wife and 3 kids wants to come...
the deposit is already paid for so he just has to "show up"....
ok now the remainder of what is owed you make abe and whoever else comes pay for...that way everybody pays the same

Yes, at the time I wasn't sure exactly what city the fairgrounds were, and I knew Hagerstown was close. thanks Trax
I'm really interested in going to this, but I won't know for sure for a little while because I'm coming from IL. About the payment thing.....you could keep track of all the people that pay before hand, and then about a week or so before the event, you could get a total count of all the people going. You could then divide the total cost of people going from the total, and then charge everybody an equal amount that hasn't payed yet. Then, since you have written down the amounts that everyone has already paid, you could refund them the balance over the figured price for everyone that they went. This will require some bookkeeping, but it could work. I hope you can follow this!

Jeff, a few of us are caravanning out there. Which is good cause I'm sure I'd get myself lost. Its so far in advance right now its kind of easy to work around it. I've already informed my boss that I was going to be gone for a week in june. I'm just waiting for the date to be truely finallized before i set it all in stone.
